Reconcile bank transfers with exchange deposits on the same day
Funding several exchanges from one bank account seems simple until you look at a statement a few months later. The lines show amounts and cryptic references; the exchange histories show credits on different dates; and nobody remembers which payment went where. Same-day reconciliation is a small habit that prevents this: on the day you make a transfer, you match the bank line with the exchange deposit and note both in one place. This guide explains how to do it for Binance, OKX, Bybit and Bitget, what to record and how to handle deposits that have not yet arrived. It gives no tax advice and makes no claims about the availability of any payment method.
Record the transfer as you make it
When you send a bank transfer to fund an exchange, write the date, time, amount, the reference used and the destination platform in a simple table. Save the bank's confirmation in a folder, with the date first in the file name. This takes a minute and captures the details while they are fresh.
Match the credit the same day
Later the same day, or as soon as the credit appears, open the deposit history on the exchange and find the matching entry. Note its amount, any fee shown and the time it was credited. Mark the table row as matched. If the amounts differ, write down why, for example a fee or a conversion, rather than leaving the difference unexplained.
Handle pending deposits
If a credit has not appeared by the end of the day, mark the row as pending and check again within the processing time shown by the platform. Do not send a second payment. If the stated time passes, open a request through official in-app support with the bank confirmation attached. Ignore anyone who offers to speed things up for a fee.
Monthly check
At the end of each month, compare your bank statement with the table and the exchange histories. Every bank line to an exchange should have a matched credit. This also helps you spot unexpected transfers or fees quickly. Keep the records with your other financial documents, separate from passwords and recovery materials. Keep it simple.
