Keeping a clear record when your activity spans exchanges and DeFi wallets

Guides · 2026-10-01

When funds move between an exchange account and one or more self-custody wallets, no single history tells the whole story. The exchange shows a withdrawal, the wallet shows an incoming transfer, and a protocol shows an interaction that may have produced new tokens. Months later it is hard to tell which entries belong together. This guide offers a routine that links both sides of each move and explains your own intent, so your records stay readable.

Link both ends of every transfer

For each movement between your own accounts, record the date, asset, amount, the source, the destination and the transaction ID. Noting both ends turns two unrelated lines into one clear event. Add a short label such as moved to my wallet or returned to exchange, because raw histories never explain intent.

Capture protocol interactions

For each interaction with a protocol, note the date, the protocol name, what you did, which assets went in and out and the transaction ID. Wallet histories can be long and cryptic, so a one-line description written at the time is worth more than detective work later.

Export and store systematically

Each month, export exchange history using the options in the official help centre and save wallet transaction lists from a block explorer. Keep original files unedited, name them by source and month and store a backup copy elsewhere. Never keep seed phrases, passwords or API secrets in the same place as records.

Reconcile regularly

Compare balances in each place with what your notes say they should be. Differences usually point to a forgotten fee or a missing transfer. Fixing them while the month is fresh is much easier than reconstructing a year. If reporting rules apply to you, a qualified professional can work from clean records far faster.

Habits that save time

Write the note immediately after each action, while you still remember the reason. Use the same short labels each time, such as to wallet, to protocol or back to exchange. A consistent vocabulary lets you filter and sum entries later without reading every line, which is what turns a pile of exports into a useful record.

Digital assets are volatile and derivatives can amplify losses. This website has no login, wallet connection, deposit form or customer-support chat. Availability can differ by residence, legal entity and product, so no regional access is assumed from language or branding alone.
